Security and permission
COLLECT Shop Floor Data Collection is a secure system that allows permission to be granted down to the functional level. When a user logs in, they see the functions they are authorized to see and at a deeper level, and they can see it in the their choice of language.
Security, Control and ERP Confirmation
As users enter items, sales orders, purchase orders, or any data they are authorized to enter, COLLECT Shop Floor Data Collection software will check against the ERP system to make sure they exist. If lot or serial numbers are required, COLLECT will enforce those requirements and check the ERP database to be sure this data is also in the ERP system.
Ease of Use
Ease of use is one of the highlights of COLLECT Shop Floor Data Collection. From scanning barcodes, to the menu structure, COLLECT software is designed to easily walk through the functions they perform on a daily basis.
COLLECT Shop Floor Data Collection software provides three ways to determine inventory availability.
Item number inquiry
The first is an item number inquiry. The user simply enters an item number and the location or locations of that item will be displayed on their hand-held device.
In the example below, we see that in Warehouse 01, we have 2270 items.
And in Warehouse 02, we have 1060 items.
Search the entire warehouse
Another way a user can locate inventory is by searching an entire warehouse;and if bins are in use, quantity by location. By entering the warehouse number, all inventory item numbers for that warehouse is displayed on the hand-held device. In addition to item numbers, the system will display lot numbers and quantity on-hand within that warehouse.
This makes the it easy to do an ad-hoc stock take, or make an adjustment to inventory. In “ad-hoc mode”, you can add to, replace existing, subtract from or transfer inventory from one location to another.
Inventory transfers are a common transaction. COLLECT Shop Floor Data Collection software handles them in a very simple and straightforward way. From the first example, here is a screen shot to show how simple it is to transfer 10 items from Warehouse 01 to Warehouse 02, bin transfers are similar, and show warehouse and bin combinatins.
The process takes seconds to complete.
By completing this transaction in the COLLECT sofware system, the information is also sent to the ERP system to be recorded.
Serial number status
Another way to make inventory inquiries is by serial number status. The system will look at the serial number you enter and tell you the location(s) and the status of that item.
For receiving inventory without a purchase order, users have the ability to enter an item, the quantity, and the warehouse it will be received into. If the item is designated to have a serial number, COLLECT will ask the user to enter the serial numbers for the items being received. After serial numbered items have been received, you can immediately check on the status of those serial numbers.
COLLECT Shop Floor Data Collection software also supports physical and cycle counting. For each type of inventory, COLLECT provides the ability to print labels.
COLLECT supports three types of purchase order receiving.
- Purchase Order received by list view. By scanning the purchase order number from the pack list, and entering the vendors’ packing list number, the hand-held device will display a list of open P.O. line items and the quantities available to be received.
- One at a time, the user selects an item, enters the warehouse where the item will be received along with the quantity of items.
- Reminder: The ERP system is automatically updated with every step.
- The user is then taken to a screen that allows them to print purchase order labels for the goods they just received.
- COLLECT will support multiple printers which allows users to print to the printer that is most convenient to their current location.
- After printing the labels, the user is returned to the “list view”
- Purchase Order received by item. Large purchase orders can be cumbersome to manage. COLLECT Shop Floor Data Collection software takes this into account by bringing to the hand-held device only those line items scanned by the user from the vendor packing list.
- As with the other functions, after the line item is scanned, the user enters the line item, facility number received into and the quantity.
- Then a barcode label is printed for use within the facility.
- Whether items are received by line item or by list, the goods can be staged without sending the data to the ERP system. This gives your team time to check any documentation and make any corrections before updating your ERP system.
- After you are satisfied that everything has been received properly, you can release the items and update your ERP system.
No other area in the operation generates as much paperwork as shipping. COLLECT Shop Floor Data Collection software recognizes this and has been designed to dramatically reduce the amount paperwork generated by your shipping department. Rather than leafing through a stack of sales orders, COLLECT Shop Floor Data Collection software has functionality that allows you to enter one or a range of available sales orders and immediately see the status of each in a color coded table.
COLLECT can print all of your shipping documents including: Bills of Lading, Pack List, NAFTA, Commercial Invoice and documents for shipping of hazardous materials.
- Red – Past due shipments
- Green – Due today
- Yellow – Due tomorrow
- White – Due to ship two days or more in the future
The color coding gives users the ability to quickly see which orders are a priority and schedule their work accordingly. This hand-help displayed pick list eliminates the need for a pre-printed list.
Flexible for users
COLLECT Shop Floor Data Collection software allows users to view and select the orders they want to work on and displays those orders on their hand-held device. This constant visibility of selected orders gives users to fully manage items directly from their hand-held device. They can see the status of each order, what’s been picked to-date, and what is needed to complete each order.
Users also have the ability to remove an order, pick the order or confirm the order and move it into a subsequent status.
Supervisors have visibility into all orders and can re-assign as the situation warrants it such as shift changes or balancing workloads. When a new user logs on and views the order, they will see it’s current status so as not to duplicate any transactions performed by the previous user.
To pick an order
To pick an order, the user enters the order number first, and then can elect to see the pick list in location code sequence or sales order line sequence.
If the item is lot controlled or has a serial number, COLLECT knows this and will not allow the user to move on until all the required data has been entered.
To reverse pick
COLLECT Shop Floor Data Collection software also supports the ability to “reverse-pick” or un-pick, show what’s remaining to be picked, print address labels and print package labels directly from the hand-held device.
When everything is ready to go, the sales orders are entered as “shipped” and the ERP system is automatically updated.
Work In Process
As with receiving, when issuing materials to Work Order, the work orders can be displayed in list mode. You can enter the work order number and the user can see a list of items that have to be picked to fill that order. If there is not enough quantity to support the work order, a warning message will be immediately displayed.
As is the case with purchase orders received, you can also issue a work order in a line item by line item mode. COLLECT allows for a reverse issue of goods, so goods can be returned to inventory. To record completions against the work order, the user enters the work order number, the item number, the quantity, and the location of the warehouse where the goods were placed. Labels can then be printed as an option.
… and the ERP system continues to be updated automatically at every step.
Labor requirements and productivity
Understanding labor requirements and productivity is a key metric for any organization. COLLECT Shop Floor Data Collection software provides the ability to track both direct and indirect labor. COLLECT does this in two separate modules.
- One for the employee
- One for the supervisors
There are some functionalities that are not found in the employee mode such as the option to change date or time information.
Supervisors have the ability to manage the date and time to ensure accurate time keeping. COLLECT also gives supervisors the option to clock an employee into and out of a work order.
